For your assistant to book appointments that actually respect your real capacity, three things need to be set up: your services, your resources, and your weekly availability. This page walks through how they fit together. For what the caller experiences during a booking call, see Calendar booking.
Services
A service is anything bookable - a haircut, a boiler repair, a consultation. In Settings → Services & Resources, each service has a name, description, how long it takes (a fixed duration, a whole day, or multiple days), and an optional price. The assistant only offers services you've marked active.
Resources
A resource is who or what delivers a service - a specific stylist, a technician, a room, a piece of equipment. Every business starts with one default resource and its own schedule; if your business has more than one person or space that can take bookings, add a resource for each so the assistant books against real, separate capacity instead of a single shared calendar. This is what stops it from double-booking the same stylist or technician at the same time.
Each resource can be linked to the services it's able to perform - for example, only certain staff might perform a specific treatment.
Weekly availability
In Settings → Calendar, the availability editor lets you drag out the hours you're actually bookable, day by day. This - not the separate "Working hours" tab - is what the assistant actually checks when it offers a time slot to a caller. Click an empty area to add a block, and drag the edges to adjust it.
Calendar settings
Also in Settings → Calendar:
| Setting | What it controls |
|---|---|
| Calendar name / contact email | Labels for this calendar, useful if you manage more than one. |
| Default duration | Fallback appointment length when a service doesn't specify its own. |
| Slot interval | The granularity of times offered (e.g. every 15, 30, or 60 minutes). |
| Timezone | The timezone all appointment times and availability are calculated in. |
| Min. notice | How much advance notice is required before a booking (in hours) - prevents someone booking an appointment 5 minutes from now. |
| Max. days ahead | How far into the future a caller can book. |
| Requires owner confirmation | Whether AI-made bookings need your manual confirmation. |
How a booking actually happens on a call
The assistant asks the caller for a day and rough time preference, checks real availability across your services and resources, and offers only genuinely free times - it never guesses or promises a slot that isn't actually open. Once the caller confirms, the appointment is created and appears on your Calendar page, marked pending review at first so you keep visibility before it's treated as fully confirmed.
Blocked time and personal events
You can add personal time or block off hours directly from the Calendar page (for holidays, personal appointments, or maintenance) - these are entered manually by you; the assistant only creates bookings, it doesn't block time off on its own.
